Laserfiche

Laserfiche is a "virtual file cabinet" and Windows based system where documents are stored and retrieved electronically from a standard folder tree similar to a common file manager program. Documents are scanned into the Laserfiche repository and can then be later viewed or modified depending on your access level to those documents. The reason for imaging documents is that it prevents loss of records, saves storage space, allows easy management of the documents, makes finding documents easier and eliminates the need for file cabinets.

Unauthorized use of this computer system is prohibited. There can be no expectation of privacy except as provided by privacy laws. Usage may be subjected to security testing and monitoring. Misuse is subjected to criminal prosecution.

 

User Roles

Your role in the system will be determined within your department at the administrative level. You will either fall into the Scanning group, the Record Managers, the View Only group and the Read group.

Gaining Access

Gaining access involves setting up of your account, training on the system and installation of the software on your computer.

  • The department must complete the Laserfiche Security Access Form and submit to the Office of Information Resource Management.
  • The individual will have to be trained on the basics of navigating the Laserfiche system. In certain instances if there is a power user in the department, then that individual can train the new user and sign off on the Training Agreement Form.   • Once trained, the individual will be notified via email that they have been granted access.
  • A scanner will then be delivered. (The Office of Information Resource Management have certain models/types that we recommend using as we will will be able to support them).
  • The department must submit a IT Ticket for them to install the software for the scanner.
